TeamLease Staffing Solutions is a well-known player in the staffing solutions space in India. It provides a range of temporary and permanent staffing solutions to its clients across the country. In order to remain competitive in its area of operation, TeamLease has resorted to technological innovation and adoption. The company recently deployed the Sage Accpac ERP solution. The company currently has more than 80,000 employees on its payroll on a pan-India basis. It has offices in 18 major cities across the country. The company presently caters to more than 1000 clients facilitating their HR functions with its solutions bouquet.
Tally: Insufficient For Load
TeamLease was using Tally earlier. However, the accounting package was not helping the company to solve its problems. As the company grew in its operations, it was in a total chaos. The implementation of Sage Accpac changed all that. MIS was on Excel and a parallel system was running for accounting. All reports were made on Excel, with all ancillary information also being stored over the file server in Excel. The concept of a database was virtually non-existent.
N Venkatraman, CFO, TeamLease, says, “The existing system could not take the load and was crashing every few hours, requiring us to take back ups every couple of hours. Work used to get interrupted every now and then. There was no concept of book closure and MIS from books”. The high volume of transactions added to the number of Excel files being created and it was very difficult for the IT department to manage these files.
Vendor Selection Process
After the company decided to go in for an ERP solution, it also looked at other financial packages. It evaluated MS Dynamix, Oracle and some other vendors along with Sage. Venkatraman says, “We had looked at MS Dynamix, however, the response from the vendors, partners was very poor, which meant we gave up on that. On the other hand, I had worked with SAP and had helped implement their solutions at customer sites. SAP was clear as to what it could and could not offer.”
The deployment process was very smooth. The extensive study that Sage did about the systems deployed at TeamLease prior to the start of the implementation played a critical role in its success.
Flexible and Robust Transaction Process
The deployment process was completed within 40 days and the project’s cost was around Rs 10 lakh. TeamLease has deployed Sage Accpac ERP along with financial modules of general ledger, accounts receivable, accounts payable and Sage Accpac Insight Business Intelligence and reporting tools. Efficiency of the entire finance and accounts function has improved by almost cent percent. Now there is also flexibility to add new modules as and when required. Venkatraman says, “We have put in place a ‘close the books’ calendar. A higher level of security gives me and my audit team lots of comfort. There is also consistency of reporting. AR reports are automated. I have also manually integrated the Operating System, which is an internally developed ERP, into ACCPAC.”
TeamLease has taken 20 licences from Sage and will increase the number of licences as and when required. The company has also recently deployed Docushare from Xerox for document management. TeamLease is using Talisma for CRM and HireCraft for its hiring process.
