DS Group Secures Information Assets Using Oracle IRM

Dharampal Satyapal Group (DS Group), manufacturer of premium pan masala (Rajnigandha), has adopted Oracle Content Management to secure and protect its information assets. DS Group is using Oracle Information Rights Management (IRM), a component of Oracle Content Management, to secure, track and protect sensitive and classified documents containing intellectual property, business proposals and proprietary communications between its employee base and extended business network.

“We chose Oracle Content Management over other solutions because of its advanced capabilities such as interoperability with different applications and also its ability to seal and protect any type of electronic document,” said Santosh Singh, GM –IT, DS Group. Unlike conventional information management products that manage documents, e-mails and webpages while they remain stored within server repositories, Oracle IRM software manages and secures data both on the server side and at the end user device point. Every copy of the information - be it on the desktop, laptop, mobile wireless device, inside or outside the firewall - is encrypted.

The DS Group has an employee strength of more than 2000 across different functions like sales, marketing, finance, R&D, production and administration. Employees communicate with personnel across its offices and its expanded network, comprising three manufacturing sites in Himachal Pradesh, Uttar Pradesh, North East; 16 depots; 35 consignee sales agents and 1,800 authorised dealers. This involves exchange of a lot of confidential data between themselves and external vendors. With Oracle IRM, the company will be able to secure and track sensitive digital information such as balance sheets, sales forecasts, investment and acquisition plans, corporate policies and business proposals; everywhere it is stored and used. This technology prevents the unauthorised saving and printing of documents. It also allows authorised users to add and securely exchange information via the Internet.

“With the group on an expansion mode, our directors and managers increasingly transmit sensitive documents among branches and departments. That’s why we require a software solution which is user-friendly, secure and capable of helping us to track sensitive information irrespective of where it is stored and how it is used,” added Singh. “The advantage of using Oracle IRM is that it protects all types of documents - from MS Office files to images to PDF files. Features such as expiry, print and copy protection help to assure us that nobody, other than the intended users, can access and work on these documents. Unauthorised personnel who try to access these documents can also be traced. Should someone forward these documents to external sources, unauthorised users will not be able to access it.”

“Given the growing importance of the subsidiaries within the group, it was of utmost importance for DS Group to maintain a robust and secure data management system. We are glad to have been able to offer such a solution to DS Group,” said Harshal Pendse, director, Technology Initiatives, Oracle India.
